Witnessing Destruction and Processing
Step 1) Option 1: A company representative should follow the vendor truck to the vendor location, and meet the shipment as it comes off the truck for verification. Option 2: Seal the container with a lock or a seal with a seal number on it to verify the container has not been opened. This second option saves time. Following the material is not necessary since the containers are sealed and scheduling with the vendor for processing is at your convenience. Step 2) Instruct the refiner or processor not to process any material or open a container unless you are present. Check to see that no seals are broken until the processing is started. A company representative should witness the material processing to insure that proprietary material is destroyed and the processing/sampling is done correctly. This should be witnessed by a company representative and/or qualified witnessing person. Keep a record of every step of the processing for later reference Step 3) A certificate of destruction for the scrap material that has been witnessed should be obtained from the vendor and/ or the person witnessing the processing of the material. This should include a description, weight, date and number of containers. The vendor and witnessing person should sign the certificate of destruction. Step 4) A value for this material can then be determined through analysis. Analysis includes taking a sample of each type of product or lot at certain points in the processing. A fire assay lab can then determine the exact value of the product through analysis. Step 6) Most vendors will make a settlement/payment in 30 days from the receipt of the material, assuming there is value in the material. A representative from your company should double check description and weights to determine the correct settlements. The accounting department should handle the settlement with backup copies going to the reclaim person at your company. These personnel should stay on top of payments and shipments to insure timely records.
